• Contact information: phone number, WhatsApp number, alternative email, address, location, emergency contact, and communication preferences.
• Migration profile information: age or date of birth, nationality, residence, marital status, dependants, education, language ability, occupation, employment history, skills, migration goals, preferred destinations, visa status, travel history, timeline, budget, income and savings ranges, job offers, and sponsorship information.
• Identity and document information: passport details and files such as passports, licences, certificates, proof of address, language tests, employment letters, financial statements, medical certificates, and police clearances that you choose to upload.
• Professional information: employer, job title, organisation, licences, certifications, business details, professional applications, and social or portfolio links.
• Communications and content: consultation requests, support messages, journal entries, planner tasks, migration stories, notes, uploaded content, survey responses, and other information you submit.

Information collected when you use JustJapa

• Device, browser, IP address, user-agent, approximate location, session, security-event, diagnostic, and activity information.
• Product interactions such as completed profile sections, selected pathways, roadmap activity, document status, recommendation history, and settings.
• File metadata such as file name, type, size, storage reference, upload time, and integrity hash.

Information about other people

If you provide information about dependants, family members, emergency contacts, employees, or other people, you must have authority to provide it and should make this policy available to them where appropriate.

We use personal information to:

• Create, authenticate, secure, and administer accounts.
• Generate destination comparisons, pathway recommendations, migration roadmaps, checklists, reminders, risk insights, and other requested software features.
• Receive, store, scan, extract text from, analyse, and report on documents you submit.
• Respond to support requests and arrange consultations with human advisers or service professionals.
• Save preferences and drafts, maintain history, synchronise progress, and personalise the service.
• Send transactional communications, security notices, requested reminders, and, where permitted, product or marketing communications.
• Monitor reliability, prevent fraud and abuse, troubleshoot errors, enforce our terms, and protect users and the service.
• Comply with legal obligations and respond to lawful requests.

Where data-protection law requires a legal basis, we process information as necessary to provide the services you request and perform our agreement with you; to pursue legitimate interests such as securing, operating, and improving JustJapa; to comply with legal obligations; and with consent where consent is required.

You may withdraw consent at any time where processing depends on consent. This does not affect processing already carried out lawfully or information we must retain for another legal reason.

JustJapa uses automated systems, including artificial intelligence and document processing tools, to generate recommendations, match indicators, country intelligence, risk insights, task explanations, OCR results, document-quality assessments, and suggested next steps.

These outputs are informational and may be incomplete, outdated, or incorrect. They do not determine immigration eligibility or government outcomes and should not replace official sources or advice from a qualified professional. Immigration authorities and other third parties make final decisions.

Avoid submitting information that is not needed for the feature you are using. If an automated result appears inaccurate, contact us so we can help you review or correct the underlying information.

We may share information with:

• Service providers that support hosting, databases, file storage, security scanning, OCR, AI processing, email or messaging, customer support, and technical operations.
• Human advisers and service professionals when you request a consultation, referral, or assistance that requires them to review the information you submit.
• Authorities and other parties when reasonably necessary to comply with law, protect rights and safety, investigate misuse, or establish and defend legal claims.
• Business transaction participants in connection with a merger, financing, acquisition, reorganisation, or sale of all or part of the business, subject to appropriate safeguards.
• Other recipients you choose, including when you share a journal entry, roadmap, or other content through a sharing feature.

We do not disclose personal information merely because it is useful to another business. We require a valid purpose described in this policy, your direction, or another lawful basis.

JustJapa uses cookies, local storage, and similar browser technologies to maintain sessions, remember interface preferences, preserve wizard answers, cache country imagery, save recommendations and roadmap state, restore profile drafts, and support security and reliability.

Authenticated dashboard pages may load third-party chat from Tawk.to. Third-party services may receive technical information and set their own cookies according to their policies. You can control browser storage through your browser settings, but blocking or clearing it may sign you out, remove saved drafts, or prevent features from working correctly.

JustJapa is an online service and may use providers or personnel located in countries other than your own. Where required, we use contractual, organisational, or other lawful safeguards for international transfers. Data-protection standards may differ between countries, but this policy continues to apply to our handling of your information.

We retain information for as long as reasonably necessary to provide and secure the service, maintain your account and requested history, meet legal and accounting obligations, resolve disputes, and enforce agreements. Retention varies according to the data, feature, sensitivity, and reason it was collected.

Browser-stored drafts and wizard data may remain on your device until they expire, are replaced, you clear them, or you clear browser storage. Deleting or deactivating an account may not immediately remove information from backups, security logs, records needed for legal compliance, or content you shared with others.

You may request deletion by emailing us. We will assess the request under applicable law and may need to verify your identity first.

We use administrative, technical, and organisational measures intended to protect information against unauthorised access, loss, misuse, alteration, and disclosure. Measures may include account controls, authenticated API requests, security-event monitoring, signed upload links, and file-security scanning.

No system is completely secure. You are responsible for protecting your password, devices, and account access and for notifying us promptly if you suspect unauthorised use.

Depending on where you live, you may have rights to:

JustJapa is intended for people aged 18 and older. We do not knowingly allow children to create accounts. Adults may provide limited information about dependants where it is relevant to migration planning and they have authority to do so. If you believe a child has submitted personal information directly, contact us so we can investigate and take appropriate action.

The service may link to or retrieve content from third parties such as government websites, Wikipedia, Unsplash, FlagCDN, social networks, WhatsApp, and embedded chat providers. Their handling of information is governed by their own terms and privacy notices, not this policy.

We use Google Analytics and PostHog to understand page visits, navigation, and feature usage so we can improve JustJapa. Advertising storage and personalization are disabled. We do not intentionally send form contents, passwords, identity documents, email addresses, or phone numbers to these analytics services.

A link or reference does not mean we control, endorse, or guarantee a third-party service or its information.

We may update this policy as JustJapa, our practices, or applicable laws change. We will publish the updated version and revise its effective date. If a change materially affects your rights, we will provide additional notice where reasonably practicable or legally required.
